The Cybicon Awards for Innovation & Enterprise (CAIE) are open to ALL organisations, large and small: Corporates, SMEs, NGOs, Community and local initiatives for responsible and sustainable practices. They are about rewarding change; building platforms to learn, share and progress ideas; and encouraging the development of engaged and ethical business practices. The Awards aim to recognise ANY organisation that puts purpose driven sustainability at its core, demonstrating the ‘good’ they are doing globally.

Definitions and Interpretation

  • “CAIE”: Refers  Cybicon Awards for Innovation & Enterprise.

  • “Organisation”: The entity applying for the Awards (corporates, SMEs, NGOs, community initiatives).

  • “Awards”: TheCybicon Awards for Innovation & Enterprise (CAIE) competition and associated events.

1. Eligibility and Application

1.1 Applicant Criteria

  1. Applications are open to organisations globally, regardless of size or sector, demonstrating responsible and sustainable practices.

  2. Organisations must not have financial associations with CAIE that could compromise the integrity of the Awards.

  3. Agencies may apply on behalf of an organisation with written consent. CAIE reserves the right to withdraw entries submitted without permission.

2. Entry Process and Conditions

2.1 Categories and Submissions

  • Multiple entries allowed across categories.

  • The same project may be entered in different categories but cannot win gold in more than one.

  • Previously winning projects may only be re-entered if significantly developed.

2.2 Entry Fees

  • Fees apply per entry and are non-refundable.

  • Withdrawn entries are not eligible for refunds.

  • Invoices must still be paid even if the entry is withdrawn.

2.3 Submission Requirements

  • Entry period is published on the website.

  • Projects must align with specified timelines in category descriptions.

2.4 Payment Terms

  • Payment via credit card or purchase order.

  • VAT at 20% applies where relevant.

  • Payment is required before Judging Day; unpaid entries may be withdrawn but fees remain due.

2.5 Intellectual Property

  • Applicants must have permissions from any third parties mentioned.

  • Projects must be original or created in direct partnership. Piracy leads to disqualification.

2.6 Data Protection

  • CAIE is registered under the Data Protection Act.

  • Entrants agree to the collection and retention of provided data.

3. Judging Process

3.1 Evaluation and Selection

  • Applications reviewed by an expert judging panel.

  • Judges may award multiple winners or withhold a gold award.

  • Decisions are final; lobbying judges is prohibited.

  • Feedback is provided post-ceremony.

  • Entries from Russia are excluded. Contentious sectors must demonstrate strong commitment to change.

  • CAIE may exclude entries that risk reputational harm.

3.2 Judging Panel

  • Judges assigned to avoid conflicts of interest.

  • All judges sign NDAs before accessing applications.

3.3 Judging Criteria

  • Evaluation follows published weighted criteria.

  • CAIE may transfer entries to more suitable categories.

  • Fees remain payable if entries are transferred.

  • In cancelled categories, refunds or compensation only apply if entries met shortlisting standards.

3.4 Submission Guidelines

  • Word limits must be respected or entries risk being penalized.

3.5 Notification and Shortlisting

  • Shortlisted entrants notified via email and LinkedIn (unless opted out).

  • Shortlisting confirms an invitation to the ceremony.

  • Published shortlist available on the website.

  • Priority ticket booking for shortlisted organisations.

  • Winners are not announced before the ceremony.

4. Content and Media Usage

4.1 Promotional Rights

  • A 100-word introduction from the application will be published if shortlisted.

  • Winners/shortlistees may be asked to participate in promotional activities (photography, press, social media).

  • By entering, organisations consent to non-confidential material being used.

4.2 Publishing of Content

  • Award plaques will display names exactly as submitted. Costs for corrections are borne by the winner.

  • By entering, organisations consent to CAIE  using their entry for promotional purposes, including in future years.

5. Liability and Miscellaneous Provisions

5.1 Limitations and Reservations

  • CAIE not responsible for lost, delayed, or incomplete entries.

  • Non-payment leads to exclusion; fees remain payable.

  • Travel and accommodation costs are the entrant’s responsibility.

  • CAIE not liable for loss, damage, or injury from participation.

  • CAIE reserves the right to cancel or change the Awards due to unforeseen circumstances.

5.2 Additional Provisions

  • Shortlisted and winning organisations will receive a “web icon” to display on websites and email signatures.

Cybicon Awards for Innovation & Enterprise (CAIE) – Event Terms & Conditions

Definitions and Interpretation

  • “CAIE”: Refers to Cybicon Awards for Innovation & Enterprise (CAIE).

  • “Awards”: The Cybicon Awards for Innovation & Enterprise (CAIE) competition and associated events.

1. Event Changes

1.1 General Rights

  1. CAIE reserves the right to amend the programme and/or speakers without prior notice.

  2. CAIE may cancel or postpone the Event, or change the date/venue, due to circumstances beyond its control affecting health, safety, venue availability, or event success.

  3. If postponed, bookings will be transferred to a new date/venue.

  4. If unable to attend, attendees may receive a credit valid for 12 months toward a future event.

1.2 Refund and Liability Limitations

  1. No refunds will be given for cancellations beyond CAIE’s control (e.g., weather, industrial action, terrorism, security risks).

  2. CAIE is not liable for travel, accommodation, or other expenses related to cancellation/postponement.

2. Health & Safety Restrictions

2.1 General Guidelines

  • Attendee health and safety are a priority.

  • CAIE will follow venue-specific safety guidance.

2.2 Current Restrictions

  • Cancellations due to COVID-19 or pandemics are not covered under refund policy.

  • Standard terms apply if cancellation is not made at least six weeks before the event.

3. Cancellations and Refunds

3.1 Cancellation Process

  1. Cancellations must be emailed to the organiser.

  2. Cancellations received ≥6 weeks before the event will be refunded (minus administrative charge).

  3. No refunds for cancellations <6 weeks before the event once bookings and invoices are processed.

4. Payment and Confirmation

4.1 Payment Requirements

  • All payments (or valid purchase order numbers) must be received before the Event.

  • Non-payment may result in refusal of entry.

4.2 Booking Confirmation

  • If confirmation email is not received within 14 days of booking, contact CAIE.

5. Guest Information

5.1 Pre-event Registration

  • An electronic form requesting guest names, contact details, access, and dietary requirements will be sent at least 14 days prior.

  • Guests must complete the form; CAIE is not responsible for unreported allergies or accessibility needs.

6. At the Event

6.1 Speaker Disclaimer

  • Opinions expressed by speakers are personal and not on behalf of CAIE or partners.

6.2 Conduct and Behaviour

  • CAIE may remove guests without refund if behaviour is disruptive, offensive, dangerous, or illegal.

  • Zero tolerance for abusive behaviour towards staff, venue staff, or attendees.

  • Guests may be banned from future events.

7. Privacy

7.1 Guest Information

  • Guest names, job titles, and companies may appear on badges or table plans.

  • Requests to withhold details must be made at least 14 days prior.

7.2 Data Usage

  • CAIE collects guest data to process bookings, deliver the event, and share relevant future updates.

  • Communications may include sustainability-related content, event updates, and award entry notices.

  • Unsubscribe option available at any time.

  • Refer to CAIE’s Privacy Policy for details.

8. Liability

  • Except for death/personal injury caused by negligence, CAIE is not liable for indirect or consequential losses.

  • Maximum liability is limited to the amount paid by the attendee.

9. Video and Photography

  • Photos and video may be taken during the event for use in future marketing.

  • Guests may request removal of their image by email.
